Who we are

 

MDS Professional Floor Care provides slip testing, anti-slip coatings, floor restoration and anti-graffiti treatments to commercial clients across London and the South East.

For the purposes of UK data protection law, we are the "data controller" — the organisation responsible for deciding how your information is used.

 

 

What we collect, and when

 

When you contact us — through the form on this website or by telephone — we collect your name, your contact details, the name of your organisation, and whatever you tell us about your enquiry.

 

When you download a guide or request a quote through one of our adverts on LinkedIn — we receive your name, work email address, telephone number where you provide it, job title and employer. LinkedIn fills most of this in from your profile before you submit it, so you can see exactly what is being sent before you tap the button. We only receive it if you choose to submit the form.

 

When you become a client — we hold the contact details, site addresses and job records needed to carry out the work, quote for it and invoice for it.

 

When you use this website — our website provider records standard technical information such as your IP address, browser type and the pages you visit. This is used to keep the site working and to understand which pages are useful.

 

We do not collect special category data — information about health, ethnicity, religion, political opinions and so on — and we would ask you not to send us any.

 

 

Why we use it, and our lawful basis

 

UK data protection law requires us to have a specific lawful reason for using your information. Ours are:

 

To answer your enquiry and quote for work. Lawful basis: legitimate interests. If you contact a floor care company about your floors, using your details to reply is what you would reasonably expect.

 

To carry out work we have agreed to do. Lawful basis: performance of a contract.

 

To send you a guide or document you asked for. Lawful basis: legitimate interests, because you requested it.

 

To send you information about our services. Lawful basis: consent, where you have ticked the box to say you are happy to hear from us — or legitimate interests where you are an existing client and the services are similar to work we have already done for you. You can tell us to stop at any time and we will, straight away.

 

To meet our legal and accounting obligations. Lawful basis: legal obligation.

 

We do not sell your information to anyone, and we never will.

 

 

Who else sees it

 

We share personal information only with organisations that help us run the business, and only as far as they need it:

 

• Our website provider, which hosts this site and delivers the contact form

• LinkedIn, where you have submitted one of our advert forms — LinkedIn holds the form data and passes it to us

• Our email and IT providers, which store correspondence

• Our accountants, for invoicing and records

• Our professional advisers, insurers and bank, where necessary

 

Each of these is required to keep your information secure and to use it only for the purpose we have given it to them for.

 

We may also disclose information if the law requires it — to a regulator, a court, or in connection with a legal claim.

 

Some of these providers may store information outside the UK. Where that happens, we rely on the safeguards recognised under UK data protection law, such as the UK International Data Transfer Agreement.

 

 

How long we keep it

 

We keep personal information only as long as we need it.

 

• Enquiries that do not become work: two years from our last contact with you, then deleted

• Client records, quotes and job records: seven years after the end of our working relationship, to meet accounting and insurance requirements

• Slip test results and health and safety documentation: seven years, since these may be needed if a claim is made

• Marketing contacts: until you ask us to stop — and then we keep a minimal record of that request, so we do not contact you again by mistake

This website uses cookies — small files stored on your device. Some are necessary for the site to work. Others help us understand how the site is used.

 

You can block or delete cookies through your browser settings, though some parts of the site may not work as well if you do.

 

 

Your rights

 

Under UK data protection law you have the right to:

• Have inaccurate information corrected

• Ask us to delete information, where we no longer have a good reason to keep it

• Ask us to restrict how we use it, while a concern is being resolved

• Object to us using it, particularly for marketing — where you object to marketing, we will always stop 

• Ask for your information in a portable format, where we are relying on your consent or a contract

• Withdraw consent at any time, where consent is what we relied on
